EPF Passbook Not Updating — Reasons & How to Fix 2025

Reason 1 — Employer Not Depositing PF
This is the most common and serious cause. Employer must deposit PF by the 15th of every month. If not deposited — passbook won't update.
How to check: In your UAN passbook, each entry shows the ECR date. If no new entries for 1–2 months — employer hasn't deposited.
Fix:
- Ask HR / payroll team about the delay
- File grievance on epfigms.gov.in — category: "Non deposit of contributions"
- EPFO can inspect employer and recover dues with interest penalty
Reason 2 — KYC Not Approved
Even if employer is depositing, passbook may not show if your KYC isn't verified.
Check: Login to UAN portal → Manage → KYC. Status should show "Approved" for Aadhaar, PAN, bank account.
Fix:
- If "Pending" — ask employer/HR to approve on their EPFO employer portal
- If rejected — re-upload correct documents

- OTP verification → activate
- Then link Aadhaar under Manage → KYC

If your name in UAN records doesn't match Aadhaar — system blocks passbook access or KYC approval.

Reason 5 — Passbook Delay (Normal)
After employer deposits on 15th — passbook takes up to 6 hours to update. Interest credit for the full year appears only in April/May each year.

Reason 6 — Multiple UANs / Old PF Account
If you worked at multiple companies and have multiple UANs — only one UAN is officially active. Old contributions may be in a different UAN.
