- Write one master list — all accounts, policies, EMIs
Most Indian employees earn for 30–40 years, pay EMIs, buy insurance, invest in PF and mutual funds — and then leave nothing usable for their family. Not because they didn't save. But because the paperwork was never done.
When a breadwinner dies unexpectedly, the family spends months — sometimes years — chasing claims, running between banks, HR departments, and courts. The money is there. The documents are missing.
Here are the 9 documents you must complete today. One evening is enough.
1. EPF e-Nomination — ₹7 Lakh EDLI Insurance
If you are a salaried employee contributing to EPF, your family is entitled to ₹7 lakh under EDLI (Employee Deposit Linked Insurance) upon your death during service. This is free insurance — your employer pays the premium. But to claim it, a valid e-nomination must be on file with EPFO.
Without it, the claim gets stuck in legal heir verification, which can take years. The fix takes 10 minutes.
- Login to the EPFO UAN portal at unifiedportal-mem.epfindia.gov.in
- Go to Manage → e-Nomination
- Add your family member's Aadhaar, relation, and share percentage
- Submit and verify with OTP
2. Gratuity Nomination — Form F
After 5 years of continuous service, you are eligible for gratuity — a lump sum paid by your employer at the time of resignation, retirement, or death. If you die during service, the gratuity goes to your nominee. If no nomination exists, it goes to legal heirs — which means courts, succession certificates, and years of delay.
The solution: fill Form F, the statutory gratuity nomination form under the Payment of Gratuity Act, 1972. Ask your HR department for this form. It takes 5 minutes to fill.
- Ask HR for Form F (they are legally required to provide it)
- Fill nominee name, relation, address, and share percentage
- Submit to HR — they must acknowledge in writing
- Update it whenever your family situation changes (marriage, child born)
3. Bank Account and Locker Nominee
As of 2023, RBI has allowed up to 4 nominees per bank account — and you can now specify percentage splits between them. For savings accounts, you can also set up survivorship clauses. For lockers, nomination is even more critical — without it, banks often freeze access entirely.
Visit your bank branch with Form DA1 (for accounts) and a separate locker nomination form if applicable. Most banks now also allow this through net banking.
- Add nominees to every savings account, FD, and locker
- Specify percentage split if adding multiple nominees
- Keep a copy of the nomination acknowledgement at home
4. Term Insurance Policy Number
Thousands of term insurance claims go unclaimed in India every year — not because the insurer refuses to pay, but because the family does not know the policy exists. They don't have the policy number, the insurer name, or the premium payment details.
The fix is embarrassingly simple: write the policy number, insurer name, and customer service number on a piece of paper and keep it in a fixed place at home. Also tell at least one family member where it is.
- Write: Policy number, insurer name, sum assured, premium due date
- Also note: where to download the soft copy (DigiLocker or email)
- Inform your nominee about the policy's existence explicitly
5. Health Insurance Card
Cashless hospitalisation works only when the hospital can verify your health insurance policy number with the insurer. In an emergency, if your family doesn't have the card or policy number, they end up paying out of pocket and filing a reimbursement claim later — a process that takes months.
Take a photo of your health insurance card and send it to the family WhatsApp group. Done. Also save a PDF copy on your phone and Google Drive.
6. Will (Vasiyat)
A will is the single most important document to prevent family disputes after death. In India, a will does not need to be registered to be valid. A handwritten or typed will, signed by you in the presence of two adult witnesses who are not beneficiaries, is legally enforceable.
Without a will, your property is divided according to succession laws — which may not reflect your wishes, and which almost always results in family members going to court against each other.
- Write down who gets what — property, bank accounts, investments, jewellery
- Sign in front of two adult witnesses (not family members who are beneficiaries)
- Both witnesses must also sign
- Date the document and keep the original safe; give a copy to a trusted person
- Registration is optional but makes probate easier
7. Demat and Mutual Fund Nominee
As of January 2024, SEBI made it mandatory for all demat and mutual fund account holders to either nominate a beneficiary or opt out explicitly. Accounts without a decision were frozen for fresh purchases. If your account was frozen and you haven't acted yet, do it now.
Without nomination, your stocks and mutual fund units become part of the estate — which means transmission documents, succession certificates, and delays of 1–3 years before the family receives the money.
- Open your broker app (Zerodha, Groww, Angel One, etc.)
- Go to Profile → Nomination → Add nominee
- Do the same for each mutual fund folio (through CAMS, KFintech, or the fund house app)
8. Property Papers
Most families know they own a flat or a plot of land. Almost none of them know where the original documents are kept. After a death, if originals cannot be found, the family has to apply for certified copies from the sub-registrar office — a process that can take months and requires legal help.
Scan every property document — sale deed, mutation papers, building plan approval, society share certificate — and store them on Google Drive or a pen drive kept at home. Also write down the physical location of the originals (home safe, bank locker, filing cabinet drawer).
9. One Master List
This is the most underrated document on this list. A master list is a single page that contains everything your family needs to manage your financial life if you are not around:
- All bank accounts — bank name, account number, branch
- All insurance policies — insurer, policy number, type, premium date
- All investments — broker, mutual fund folios, PPF account
- All running EMIs — lender, loan number, monthly amount
- All subscriptions and utilities — electricity, gas, internet account numbers
- Passwords or hint for email and financial accounts (keep this page secure)
Print this page, put it in an envelope, and keep it in a known place at home. Tell your spouse or a trusted family member that it exists and where to find it. Update it once a year.
The Real Cost of Not Doing This
None of these tasks take more than a few hours in total. The cost of not doing them is measured in months of your family's grief spent chasing paperwork, thousands of rupees in legal fees, and relationships strained by disputes over inheritance.
These 9 documents are not for you. They are for the people who love you. Spend one evening on them.
